Sign in as the office. Open your company link, type the manager name we gave you, and set a password. Whatever you type the first time becomes the password — so do this yourself, on your own phone, before you send the link to anyone.
Add your contractors. Tap 🏢 Builders. Put in every GC and builder you work under and give each one a color. The colors are what make a job recognisable at a glance on a phone in the sun.
Add your jobs. Add New Job — name, address, Builder or Service Call, and which contractor it sits under. Start with your active jobs only. Do not back-fill last year; nothing good comes of it.
Set your standard checklist. Tap 📋 Template. These are the items that repeat on every house — slab, rough, trim, final. Type them the way your guys say them out loud, not the way a spec book says them. One tap then applies the whole list to a new job.
Group your crews. Tap 👷 Crews, name each crew and list the guys in it. Optional, but when one man checks in, his whole crew shows on the schedule in their color — which is the point of the schedule.
Drop in plans and docs. Any sheet, photo or PDF, attached to the job. Optional on day one, and the first thing your crew will thank you for.
Get the crew on. Send them the same link. Each man types his first name and picks a 4-digit PIN — the PIN is his from then on, so nobody logs work under his name. Then Add to Home Screen and it behaves like any other app on the phone.
Run a week. Do not announce a new system. Tell them to log what they finished at the end of the day, the same as the text they already send. That is the whole ask.
Friday, open the billing queue. Everything the crew flagged as billable is sitting there waiting on a decision. That is the hour this was built for, and it is the day you will know whether it is worth keeping.
